1. Information We Collect

From the lead form on this website

When you submit our coaching inquiry form, we collect:

• First name and last name
• Email address
• Phone number
• State of residence
• Your consent to receive transactional and (optionally) marketing communications

From the coaching intake form (post-payment)

After you book and pay for a coaching consultation, you will be asked to complete a separate intake form. This form collects sensitive personal information you choose to share so we can tailor your coaching, including:

• Date of birth
• Sex assigned at birth
• Your primary thyroid concern or interest area (free-text)
• Current symptoms
• Current medications and supplements
• Prior lab results (if available)
• Health history relevant to your coaching engagement
• Your acknowledgment of our coaching and communication terms

We treat this information with care and store it inside our secure CRM (see Section 5).

Payment information

When you pay the coaching deposit, payment is processed by Stripe, Inc. We never see or store your full card number, CVV, or bank account details. We receive only the transaction confirmation, your name, your email, and the amount paid. Stripe's handling of your payment information is governed by Stripe's own privacy policy at stripe.com/privacy.

Automatically collected information

Like most websites, ours may log standard technical information such as IP address, browser type, pages visited, and timestamps. We use this only to keep the site running and to detect abuse.

2. How We Use Your Information

We use the information we collect to:

• Respond to coaching inquiries
• Schedule, confirm, and remind you of your coaching consultation
• Send you transactional messages (booking confirmations, reminders, payment receipts) by email and, if you consent, by SMS
• Send you optional marketing or educational communications by email (and, if you separately consent, by SMS)
• Deliver the coaching service you paid for
• Comply with legal obligations and protect against fraud

3. SMS / Text Messaging

By providing your mobile phone number and checking the SMS consent box on our forms, you opt in to receive text messages from Natural Thyroid Care.

• Types of messages: Appointment confirmations, appointment reminders (24 hours and 1 hour before your scheduled time), follow-up communications related to your coaching engagement, and (only with separate, explicit consent) marketing or educational messages.
• Frequency: Message frequency varies based on your interactions with us. Transactional messages occur at booking and at 24 hours and 1 hour before appointments. Marketing messages, if you opt in, occur no more than a few times per month.
• Cost: Standard message and data rates may apply per your mobile carrier's plan.
• HELP: Reply HELP to any text message, or contact us at naturalthyroidcare@gmail.com.
• STOP: Reply STOP to any text message at any time to opt out of all SMS communications. You may receive one final confirmation message after replying STOP.
• Carrier disclaimer: Mobile carriers are not liable for delayed or undelivered messages.

No third-party sharing of SMS consent data: No mobile information, opt-in data, or SMS consent will be shared with third parties or affiliates for marketing or promotional purposes. All information-sharing categories described in this Privacy Policy exclude text messaging originator opt-in data and consent. This data is not shared with any third party.

4. How We Share Your Information

We do not sell your personal information. We do not share it with advertisers or data brokers.

We share information only with service providers we use to operate our practice, and only as needed to provide the service you requested. These include:

• GoHighLevel / LeadConnector: our CRM, where contact records and intake responses are stored.
• Stripe: for payment processing.
• Email and SMS delivery providers used by our CRM (currently Twilio for SMS via GoHighLevel's reseller relationship).

We may also disclose information if required by law, court order, or to protect the rights, property, or safety of our clients or the public.

5. How We Store and Protect Your Information

Client information is stored in GoHighLevel's secure infrastructure, which encrypts data at rest and in transit and maintains access controls and audit logs.

We restrict access to your information to Dr. Jeff Smith and any authorized coaching staff who need it to provide your coaching engagement.

6. How Long We Keep Your Information

• Lead inquiries that never convert to a paid coaching consultation are retained for up to 24 months from your last interaction, then deleted or anonymized.
• Client records (anyone who has paid for and received a coaching consultation) are retained for the period needed to support your coaching engagement and any follow-up, typically up to 7 years from your last interaction.
• Payment records are retained as required by IRS and Stripe's regulatory obligations (typically 7 years).

7. Your Rights

You have the right to:

• Access the personal information we hold about you
• Correct information that is inaccurate
• Request deletion of your information, subject to legal retention requirements for payment records
• Opt out of marketing emails at any time by clicking "unsubscribe" in any marketing email
• Opt out of SMS at any time by replying STOP to any text message
• Withdraw consent for any non-required processing

To exercise any of these rights, email naturalthyroidcare@gmail.com with your request. We will respond within 30 days.

Residents of California, Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws have additional statutory rights, which we honor on request.

8. Children's Privacy

Our services are not directed to children under 18. We do not knowingly collect information from minors. If you believe a minor has submitted information through our site, please contact us at naturalthyroidcare@gmail.com and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date at the top reflects the most recent revision. Material changes will be communicated to active coaching clients by email.
